Are you planning on hosting a reoccurring event? If you are expecting that you will be using a particular venue for multiple years/months, consider proposing a contract stating so. This could be great leverage for you as you are executing your plan and vision.

Remember to involve your vendors BEFORE you choose your venue! They will have insights to which venues are best to work with and will help you as your navigate fees in relation to your budget.

As the client, you ultimately have the power! AV plays a vital part in the success of your event and you want to be sure to get it right. A good vendor will not provide you with a “take it or leave it” proposal. They should be able to present several options, at various price levels, for you to choose from. An AV partner will work with you to identify different solutions to realize your vision, while staying within your budget.
